How to calculate jobsite equipment fuel & operating cost

Estimate productive hours, total fuel, idle fuel, fuel cost, emissions, and per-machine operating cost for jobsite equipment. Unlike a basic two-input estimate, this tool combines project quantities, operating assumptions, efficiency or risk factors, and selected scenarios. It returns a dashboard of related results so the user can see the main answer, its cost or capacity consequences, and the assumptions driving the result. Calculation framework: Fuel = units × scheduled hours × utilization × rated burn × workload multiplier. Idle share, cost, and emissions are derived from that total.

How the calculation works

Productive machine-hours multiply units, scheduled hours, days, and utilization. Total fuel then applies rated hourly burn and the workload multiplier. Idle fuel is the selected share of that total; fuel price converts consumption to cost, and the chosen emissions factor converts gallons to estimated kilograms of direct CO₂.

Example

Four machines scheduled 9 hours a day for 20 days at 70% utilization produce 504 machine-hours. At 3.5 gal/hour under a 1.20 heavy-duty factor, estimated fuel is 2,116.8 gal. A 22% idle share represents 465.7 gal. At $4.10/gal, fuel costs $8,678.88, or $108.49 per machine per day; the diesel factor estimates 21,613 kg CO₂.

Pro Tips for Jobsite Equipment Fuel & Operating Cost

  1. Use telematics or refueling records when available. Rated fuel burn varies with load, idle policy, terrain, operator behavior, maintenance, temperature, and attachment use.
  2. Do not combine incompatible units or time periods. A percentage field expects the whole percentage shown on the source record, while decimal factors such as power factor are entered as decimals. Counts, purchasable materials, staffing, and capacity should be rounded according to the real decision—not automatically rounded down.

Common Jobsite Equipment Fuel & Operating Cost Mistakes to Avoid

  • Compare the calculated result with a recent completed job, measured load, production shift, supplier quote, or audited financial period. Run an expected case and a conservative case using the dropdowns. Investigate any result that exceeds equipment ratings, available hours, physical dimensions, project budgets, or normal historical ranges. For safety, code, structural, electrical, or contractual decisions, obtain review from the appropriately qualified professional.
